Please note, we carry out these activities to fulfill our contract with you, comply with legal obligations, protect your, ours, or others' interests, and/or for our legitimate business interests.

We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so.

Section 4: How We Store and Protect Your Data

The security of your personal information is paramount to us. Proton Glow implements a variety of robust security measures designed to protect your personal data from unauthorized access, use, or disclosure.

Data Storage: All personal data we collect is securely stored within the European Union. We leverage Firebase, a reputable and secure platform by Google, for data storage and user authentication. Firebase provides robust and secure infrastructure, ensuring the safety and integrity of your data.

Data Security: We have put in place appropriate physical, electronic, and managerial procedures to safeguard the information we collect. This includes, but is not limited to, using secure networks, encryption, and two-factor authentication. Our security measures align with or exceed industry standards and best practices to prevent any unauthorized access, alteration, disclosure, or destruction of your information.

Staff Training: Our staff and contractors are trained in data protection and are required to treat your personal information with the utmost confidentiality. They have access to user personal data only to the extent necessary to perform their tasks and are obligated not to disclose or use it for any other purposes.

Incident Response: In the unlikely event of a data breach, we have a response plan in place to swiftly secure the data, determine the cause, and take appropriate measures to prevent a recurrence. We will notify you and any applicable authorities of a breach where we are legally required to do so.

Despite our efforts to secure your data, please be aware that no security measures are perfect or impenetrable. While we strive to use commercially acceptable means to protect your personal data, we cannot guarantee its absolute security. We recommend that you protect the security of your account by using strong, unique passwords and keeping all login details confidential.

If you have any concerns about the security of your data, please contact us at protonglow@gmail.com. We are committed to working with you to resolve any issues and ensure the security of your data.

Section 5: Who We Share Your Data With

In the process of providing our services, we share your data with select third parties who assist us in operating our AI chatbot. We only share your data as necessary for the purposes described in this Privacy Policy and only with third parties that provide adequate protections for your data. Here are the third parties with whom we share your data:

Firebase (Google Inc.): Firebase is a development platform for apps, owned by Google. We use Firebase for secure user authentication and data storage. Firebase may process your Personal Identification Information and other data that you provide to us when creating an account or using our services. Google's privacy policy further explains how Firebase processes and protects this information.

OpenAI API: In order to operate our AI chatbot and provide you with its functionalities, we send the data you enter into the chatbot to OpenAI's API. This data is used to process your requests and generate appropriate responses. OpenAI may use the data sent via the API to improve their models and they apply robust security measures to protect the data. More information can be found in OpenAI's data usage policy.

We do not sell, trade, or otherwise transfer your personally identifiable information to outside parties, unless we provide users with advance notice. This does not include website hosting partners and other parties who assist us in operating our website, conducting our business, or serving our users, so long as those parties agree to keep this information confidential.

We may also release information when its release is appropriate to comply with the law, enforce our site policies, or protect ours or others' rights, property or safety. Non-personally identifiable visitor information may be provided to other parties for marketing, advertising, or other uses.

Please note that these third parties have their own privacy policies and we recommend that you review them. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party sites or services.

Section 6: International Data Transfers

As a global company, Audit Ready Systems sometimes needs to transfer data to different locations around the world. Here's how we handle these transfers:

Storage within the EU: We use Firebase, a product by Google, for secure user authentication and data storage. All data stored on Firebase is located within the European Union and is therefore subject to the stringent data protection laws applicable in the EU.

Transfers outside the EU: In the course of providing our AI chatbot service, we send the data you enter into the chatbot to OpenAI's API. OpenAI's servers may be located outside the EU. However, we only transfer data to third parties, such as OpenAI, that provide a sufficient level of protection in accordance with EU data protection laws.

OpenAI uses strong encryption to protect the data in transit and at rest. Additionally, OpenAI may use the data sent via the API to improve their models, but such use is in accordance with OpenAI's data usage policy, which provides for robust data privacy protections.

In all our data transfers, we comply with the provisions set out in the General Data Protection Regulation (GDPR) regarding data transfers to countries outside the European Economic Area (EEA). This includes only transferring your personal data to countries that have been deemed to provide an adequate level of protection for personal data by the European Commission, or using specific contracts approved by the European Commission which give personal data the same protection it has in Europe.

Your acceptance of this Privacy Policy followed by your submission of such information represents your agreement to these data transfers. If you have any concerns about the transfer of your data, please contact us at protonglow@gmail.com.
